We Staff Virtual General Terms & Conditions 

Effective date: November 15th, 2021.

These Terms & Conditions describe Our policies and procedures on the use of our Virtual Assistance Monthly Subscriptions.

Please read these terms and conditions carefully before subscribing to one of our Services. You should understand that by subscribing to one of our Services, you agree to be bound by these terms and conditions.

The Company reserves the right to change these terms and conditions at any time without prior notice. In the event that any changes are made, the revised terms and conditions shall be posted on this website immediately.

Definitions

For the purposes of this Privacy Policy:

  • Account means a unique account created for You to access our Service or parts of our Service.
  • Company (referred to as either “the Company”, “We”, “Us” or “Our” in this Agreement) refers to We Staff Virtual.
  • Service refers to the Virtual Assitance services to which you have subscribed.
  • Website refers to We Staff Virtual, accessible from www.westaffvirtual.com
  • You means the individual accessing or using the Service, or the company, or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.
  • We Staff Partner means an Online Business Manager (OBM), your right-hand person in charge of additional services such as project managing, process building, manuals/SOPs development, training, etc.

Monthly Subscriptions

Onboarding

  • After purchase, you will be able to schedule an onboarding call with the Company. The purpose of this call is to gather the information that is required for the Company to provide the Services as well as to walk You through our task management system and proper delegation processes.
    • This will be a Zoom call.
    • The Company and You agree to respect each other’s time by joining the call at the previously agreed time.
  • At the end of the call, You and The Company agree to have all the necessary information to move forward with the implementation of the Services.

Hourly Usage

  • By purchasing a Monthly Subscription, you agree that all hours must be used before the end of your billing cycle each month.
    • Hours not used within a billing cycle will expire at the end of it.
      For example, if you purchase a 20-hours per month Subscription on the 10th of November, the hours must be used before the end of that billing cycle. If by December 10th you did not use 2 hours, the hours will expire as the Subscription renews.

Payment Terms

  • By purchasing a Monthly Subscription, you agree to an initial and recurring Monthly Subscription fee at the then-current Monthly Subscription rate, and accept the responsibility for all recurring charges until You cancel your subscription.
  • You may cancel your Subscription at any time, subject to the terms of our cancellation policy.
  • If we do not receive payment from your card provider or if your payment method expires or is rejected, you agree to pay all amounts due upon demand.
    • Following such non-payment, we may require you to provide a new payment method before continuing to use the Services.
  • You may change your billing information at any time by login into your Account and clicking on Settings, accessible from www.weempowerenterprises.com/login

Service Terms

  • All services will be performed from Monday to Friday 8am to 5pm PST.
    • Federal Holidays are observed.
    • The Company reserves the right to change the hours/days of operation.
      • In such event, the Company agrees to notify You at least 2 weeks in advance.
  • You agree that the Services provided are those of an Assistant in which the Assistant is by no means an expert in your business, but is assisting you in a myriad of tasks related to it.
  • You agree to delegate tasks directly to your designated virtual assistant using our task management system, this includes:
    • Clear instructions and a video tutorial whenever possible and necessary.
    • Access to all apps, software, tools, etc. required to complete the task.
  • Tasks must be delegated at least 48 hours in advance. They will then be addressed by the Company within 24 hours in case there are any questions and finalize within a reasonable timeframe.
  • You agree to be notified of any questions regarding a specific task and to answer them based on your availability.
    • If a task is dependent on your input, feedback, security codes, etc. you agree that it may be rescheduled depending on your availability.
  • The scope of the services are according to the information provided on Our website, accessible from www.westaffvirtual.com/pricing
    • Specifically what is included in the packages.
  • Any additional services requiring a We Staff Partner will be charged at $30/hr— or its equivalent in hours depending on your specific Subscription— with your prior authorization.

Cancellation Policy

  • You may cancel your monthly subscription at any time, in which case:
    • You will continue to have access to our Services until the end of your billing cycle.
    • Access to our task management system will be removed at the end of your billing cycle.
  • The Company may also cancel Subscriptions at any time, in which case:
    • You will be notified immediately.
    • You will continue to have access to the Services until the end of the then-current billing cycle.

Non-refundable Fees 

  • For full-time Monthly Subscriptions, the Kickstarter fee is non-refundable.
  • Once a Monthly Subscription has been renewed, the hours must be used. These are non-refundable. We advise that if You are planning on canceling your Subscription, you do so before the end of your billing cycle (renewal date).

Privacy Policy

Personal/Business Data

While using Our Services, and because of the nature of Virtual Assistance Services, You may provide Us with personal information which may include, but is not limited to:

  • Email Address
  • Name and last name
  • Account Credentials

Use of Your Personal Data

The Company may use Personal Data for the following purposes:

  • To provide and maintain our Services
  • To manage your Account and Subscription.
  • To contact you via email, calls, SMS, or other equivalent forms of electronic communication.
  • To provide you with news, changes, special offers, and general information about other services and events which we offer that are similar to those that you have already purchased.
  • To manage your requests/tasks.

Retention of Personal Data

  • The Company will retain Your Personal Data only for as long as is necessary for the purposes of providing the Services.

Transfer of Personal Data

Your information, including Personal Data, is processed at the Company’s operating offices and in any other places where the parties involved in the processing are located. It means that this information may be transferred to — and maintained on — computers located outside of Your state, province, country or other governmental jurisdiction where the data protection laws may differ than those from Your jurisdiction.

Your consent to this Terms & Conditions followed by Your submission of such information represents Your agreement to that transfer.

The Company will take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with this Privacy Policy and no transfer of Your Personal Data will take place to an organization or a country unless there are adequate controls in place including the security of Your data and other personal information.
